How Call Tracking Works

In practice, call tracking places a measurement layer between a marketing source and the business phone line. A tracking number receives the call, forwards it to the intended destination, and preserves useful source data.

The Basic Flow

  1. A prospect sees a tracked campaign, listing, or website.
  2. A tracking number is displayed or assigned.
  3. The prospect calls the tracking number.
  4. The call is routed to the business.
  5. The platform stores attribution and interaction data.

What Changes on a Website

Website tracking commonly relies on Dynamic Number Insertion, which can swap the visible phone number according to visitor context. The business can keep answering its normal destination line while the tracking layer records the source.

Tracking Numbers and Destination Numbers

The tracking number is the public measurement number; the destination number is where the business actually answers. That separation is useful because marketers can change the tracking layer without forcing staff to answer a completely different phone system. Multiple tracking numbers can also route to different destinations when the workflow requires it.

What Gets Stored With a Call

The exact fields depend on the platform and configuration, but a call record can include the tracking number, campaign or source, start time, call status, duration, and—in richer setups—visitor, keyword, landing-page, recording, transcript, qualification, or conversation data. The important distinction is that the call itself and the attribution context become part of the same record.

How Website Visitor Tracking Works

A DNI script detects the numbers on the page and swaps them for tracking numbers from a pool. When the visitor calls, the platform can connect that phone interaction with the session associated with the displayed number. This is why pool sizing matters: if too few numbers are available for simultaneous visitors, attribution can become less reliable.

How to Test a New Setup

  1. Visit the site through a source you intend to track.
  2. Confirm the expected tracking number appears.
  3. Place a test call and make sure it reaches the intended destination.
  4. Check that the call appears in the platform with the expected source information.
  5. If an integration is enabled, confirm the event reaches the downstream system as intended.
