HubSpot Call Tracking with CallRail

CallRail's HubSpot integration can create new leads from inbound calls or texts and add activity to existing contacts.

Context Available in HubSpot

CallRail documents call recordings and data such as marketing source, PPC keyword, landing page, GCLID, tags, conversion status, and qualified value. Current materials also describe call summaries and caller sentiment on records.

Design the Lifecycle First

Define how a caller should become a lead, which interactions update existing contacts, and what qualification signals matter before automating the workflow.

Lead Creation and Contact Enrichment

The current integration can automatically create leads from inbound calls or texts or add activities to existing contacts. This reduces the gap between a phone interaction and the CRM record used for follow-up.

Marketing Context Inside the CRM

CallRail currently documents fields including marketing source, PPC keyword, landing page, GCLID, tags, conversion status, qualified value, recordings, summaries, and caller sentiment, depending on configuration and features.

Voice Assist and HubSpot

CallRail has expanded the integration so Voice Assist can use HubSpot contact context for returning callers. In September 2026, CallRail also announced beta capabilities for real-time HubSpot calendar scheduling and Agent Hub access to CallRail data.

Workflow Design

Before automating, define what creates a new lead, what updates an existing contact, who owns follow-up, and which call outcomes change lifecycle stage. Automation magnifies a good process—and a bad one.

Prevent Duplicate Contacts and Activities

Test how matching works for known and unknown callers, especially when phone numbers are formatted differently or shared. A technically connected integration can still create messy CRM data if identity rules are not understood.

Keep Sales and Marketing Definitions Aligned

If marketing labels a call qualified but sales uses a different lifecycle definition, reports will diverge. Agree on the fields and stages that represent qualification, opportunity, and customer outcomes.
